Why Your Print Job Looks Cheap (and How to Fix It Before You Order)

Here's a truth most print buyers don't want to hear

Most print quality problems aren't the printer's fault. They're spec problems. The file was designed in RGB, the resolution was too low, or the delivery date was unrealistic for the option chosen. I say this after four years of reviewing deliverables—roughly 200 unique items a year—and rejecting more first proofs than I'd like to remember.

The vendor blamed 'inherent process variability.' I blamed the fact that we hadn't specified tolerances in the contract.

Argument #1: PowerPoint is not a print tool

The default color space is RGB. Commercial printing uses CMYK. The default resolution is 72 dpi. Print shops want 300 dpi at full size. Last year, a Phoenix-based retailer designed a promotional poster in PowerPoint, exported it as a PDF, and sent it to us for a Phoenix flyer printing order. The colors on their screen looked vibrant. The printed flyers looked like someone had left them in the sun. They were furious. But the file never had a chance—the RGB-to-CMYK conversion killed the purple, and the low-res PNG images became soft blobs.

The fix isn't hard. If you must use PowerPoint, change the slide size to full dimensions, export at maximum quality, and convert to CMYK using a tool like Adobe Acrobat. Or better, design in software that supports print standards from the start.

Argument #2: Flyer printing costs more than the sticker price

Take flyer printing, for example. Publicly listed prices for 1,000 flyers (8.5×11, 100lb gloss text, single-sided) range from $80 to $150 at online printers, and $150 to $300 at local shops—based on January 2025 pricing. But the base price is only the beginning.

Setup fees in commercial printing typically include plate making ($15–50 per color for offset), die cutting setup ($50–200), and custom Pantone matching ($25–75 per color). Many online printers include setup in base quotes, but local shops often add it separately.

There are also rush charges. A client of mine once ordered 1,000 flyers for a weekend event. The quote was $115. By the time we added next-day printing (+50%), freight ($35), and a custom color match ($50), the total hit $245. The 'expedited' option doubled the cost, which honestly felt excessive. But the event date wasn't flexible, so we paid.

This is where educated customers have an edge. They ask: 'What's your standard turnaround? What's the total cost with shipping? Are setup fees included?' They don't get surprised at checkout.

Argument #3: The digital-to-print disconnect is real

Here's a counterintuitive example: your iPhone has a feature called Contact Posters—full-screen images that appear when someone calls you. You can create one in minutes, and it looks great on the lock screen. But if you were to print that same poster as a physical flyer, you'd likely be disappointed. The fine text might be too thin. The background may eat too much ink. The color profile on a phone screen doesn't match a CMYK press.

And unlike the digital version—where you can easily delete a contact photo and poster on iPhone with a few taps—a printed poster is permanent. You can't just 'undo' it. That's why it's critical to consider the medium at the design stage, not after the job hits the press.

I once had to decide whether to approve a slightly imperfect proof because the client needed the order in 24 hours. The upside was meeting the deadline; the risk was a dissatisfied customer. I approved it, and the client didn't notice. But I still felt uneasy. Not ideal, but workable—that's what I told myself. That's the kind of trade-off you never want to make.

Some clients argue: 'I'm paying you to know the details. Why should I have to learn this?' Fair question. But here's the thing—the more you know, the faster and cheaper your project goes. If your file is print-ready from the start, you avoid revision cycles, reprints, and downgraded expectations. An informed customer asks better questions and makes faster decisions.

Don't rely on luck. Learn the basics, use available resources, and give the printer what they actually need. You'll get better print, fewer headaches, and a much lower total cost.
